How to Prepare Your Business Documents for an AI Assistant (Without Extra Work)
You don't need to reorganize your documents before building an AI assistant. But some simple improvements make the AI noticeably better. Here's what matters and what doesn't.

One of the first questions business owners ask us is: “Do I need to clean up and reorganize all our documents before we start?”
The short answer is no. We work with documents the way they exist in your business. But some simple improvements — many of which take less than an hour — can make your AI assistant noticeably more accurate and useful.
Here’s what actually matters.
What Doesn’t Matter (You Can Relax About This)
File format — PDFs, Word documents, Google Docs, Notion pages, HTML pages. We handle all of them. You don’t need to convert anything.
Perfect organization — If your Google Drive has 12 levels of folders and you’re not sure where everything is, that’s fine. We map it out during discovery.
Uniform style — Your documents don’t need to all look the same. Some businesses have beautifully formatted manuals and messy internal notes. Both are useful.
Complete coverage — You don’t need to document everything before we start. We build the AI on what you have, and it improves as you add more.
What Does Matter
1. Accuracy Over Quantity
An AI assistant can only be as accurate as the documents it learns from. If your refund policy document says “14 days” but it’s actually been 30 days for two years, the AI will say 14 days.
Before we build, do a quick review of your most important documents — especially anything related to pricing, policies, and processes — and make sure the information is current.
2. Clear, Direct Language
The AI works best with documents written in clear, direct sentences. It handles complex or technical language, but ambiguous wording creates ambiguous answers.
If a document says “the usual timeframe is typically around 3–5 business days in most cases” — the AI will give an equally hedged answer. If it says “delivery takes 3–5 business days” — the AI will say exactly that.
You don’t need to rewrite everything. But if certain documents have notoriously vague language, it’s worth tightening them before we ingest them.
3. One Source of Truth Per Topic
If you have three different documents that each explain the onboarding process slightly differently, the AI will sometimes give inconsistent answers.
The fix is simple: decide which document is the authoritative one, and either delete or clearly mark the others as outdated. We can help identify these conflicts during the testing phase.
4. Structure Helps
Documents with clear headings, bullet points, and short paragraphs produce better AI answers than dense blocks of text.
This doesn’t mean you need to redesign your documents. But if you have an important manual that’s written as one long continuous narrative with no headings, adding some structure will improve AI performance noticeably.
Special Cases
Spreadsheets — Excel and Google Sheets with simple lookup tables (pricing, product specifications, compatibility matrices) work very well. Spreadsheets with complex formulas or pivot tables are less useful to the AI.
Email threads — Generally not a good source. Emails are too conversational and context-dependent. Extract the key decisions or policies into a proper document instead.
Presentations — Slide decks work, but they’re often incomplete without the speaker notes. If a presentation is the definitive source for important information, convert the key points into a document.
Scanned PDFs — If your PDFs are scanned images of paper documents (not machine-readable text), we use OCR to extract the content. Quality depends on scan clarity.
The Bottom Line
Don’t delay starting because your documents aren’t perfect. They never will be, and waiting for perfect documentation before building means never building.
